As a leader of 2 companies, I sometimes feel like my hair is on fire! 2 sets of clients, business contacts, appointments, deadlines, urgent issues, due dates, projects, and KPIs (key performance indicators). You get the idea- Calgon take me away kind of stuff.
One of the best solutions I came back to was putting together an editorial calendar- and yes, it’s on paper. It seems so simple, and it is- the simplest solutions can often seem so easy that they get overlooked. I got caught up in looking for reminder programs, new technologies, and getting everything web-based (which is great, no matter what, my appointments and critical info is backed up and I can easily share my schedule with staff). But when it came right down to it, for us, the best way to keep Big Picture activities on track is a hard copy calendar hung up in the middle of the office for all to see.
Hillary, our Admin Support Genius, manages the calendar (a great big desk-blotter size monthly calendar). She plots out monthly due dates including blog articles due from each employee (and occasionally from guests) that she posts on their behalf, when newsletters should be going out, our film schedule and dates the video will be edited and posted online. Everyone in the office can walk up and double check their deadlines, and all staff members are empowered to answer a client regarding when their video will be filmed or finished. Hillary has an easy task of checking in on the high-level view, and knows at a glance when we’re falling behind or when we can squeeze in another project.
